Prepare For Your Appointment

E-Visit Policy
How We Handle Pink Eye and Diaper Rash
To provide the best possible care, we now manage Pink Eye and Diaper Rash through MyChart E-Visits. This allows our physicians to review symptoms quickly and provide appropriate treatment.
What Is an E-Visit?
An E-Visit is not a video visit. Instead, you message with a COPC physician through MyChart. Your doctor will review:
• Your written message
• Your answers to the questionnaire
• Any photos you upload
They will then respond with guidance, treatment recommendations, and next steps.
How to Start an E-Visit in MyChart
1. Log into MyChart
2. Select “Send a Message”
3. Choose “E-Visit”
4. Select your concern (Pink Eye or Rash)
5. Answer the questions and upload a photo of your child’s symptoms
Medication and School Note Policy
We will no longer call in medications for Pink Eye or Diaper Rash without an E-Visit or an in-person appointment. This policy took effect February 1, 2024.
If appropriate, daycare or school notes can be provided through the E-Visit.
Why We Use E-Visits
This process helps us:
• Avoid missing more serious infections
• Prevent unnecessary antibiotic use
• Provide faster, safer care
• Get your child back to school or daycare quickly

Allergy Shot Procedure Hours
Temporary Allergy Shot Hours
Allergy shot procedures are available by appointment only during the following temporary hours:
• Monday–Thursday: 9:00 a.m. – 11:00 a.m.
• Friday: 3:15 p.m.

Well Visits
Infant Well Visits
Regular well visits and immunizations help ensure healthy growth and development. Recommended visit schedule:
• 5 days
• 2 weeks
• 2, 4, and 6 months
• 9 and 12 months
• 15 and 18 months
• Age 2, then annually
Child Well Visits
Childhood checkups allow us to monitor physical growth, development, and overall health. These visits may include:
• Physical exams
• Screening tests
• Developmental and educational guidance
Adolescent Well Visits
Adolescent checkups ensure teens are healthy and ready for school, sports, camps, and activities. Visits may address:
• Acne
• Mental health concerns
• Eating or weight issues
• Sexual health
• Substance use

Sick Visits
Same-Day Sick Appointments
Same-day appointments are available when your child is ill. Call early in the day to schedule.
A full checkup cannot be completed during a sick-visit appointment.
If your primary pediatrician is unavailable, we will schedule you with another physician in our practice.

Prescription Policies
Prescription Refills
Prescriptions and refills are typically completed during scheduled office visits. Medication is prescribed to last until your child’s next appointment. Running out of medication may mean it’s time to schedule a follow-up visit.
Patients should be seen annually for routine medication refills.
Prior Authorization Requirements
If your insurance requires a prior authorization, you must obtain the appropriate form from your insurance company. We will complete the documentation once we receive the form.
Changing Pharmacies or Using Mail Order
Ohio law allows non-expired prescriptions to be transferred between pharmacies.
Mail-order pharmacies often require new written prescriptions. If needed before your next visit, you may:
• Schedule an appointment, or
• Wait until your next routine visit
There is no fee to rewrite non-controlled prescriptions. These must be picked up at the office.
Lost controlled-substance prescriptions cannot be replaced.
Why We Do Not Call In Prescriptions
We discourage calling in prescriptions because it prevents proper evaluation and follow-up.
We also do not accept refill requests from pharmacies. When pharmacies call, we request that they ask the patient to contact us directly.

Late Cancellation and No-Show Policy

We understand that plans can change. If you need to cancel or reschedule your appointment, we're here to help.

To keep appointments available for all patients and reduce wait times, please contact us at least 24 hours in advance if you cannot make your scheduled visit.

What Counts as a Late Cancellation or No-Show?

Late Cancellation: Canceling or rescheduling your appointment less than 24 hours before the scheduled time.

No-Show: Missing your appointment without notifying us at least 24 hours in advance.

Fees for Missed Appointments

Appointments not canceled at least 24 hours ahead of time will incur a $25 fee.

Please note: This fee is not covered by insurance and will be billed directly to you.

How to Cancel or Reschedule

You may cancel or reschedule your appointment in any of the following ways:

  • MyChart: If you're enrolled, you can cancel or reschedule anytime through your account.
  • Call the office: If we're unable to answer, please leave a voicemail with your full name, date of birth, appointment date/time, and the reason for cancellation.

Helpful Reminder

Please arrive 15 minutes before your scheduled appointment to allow time for check-in and any necessary paperwork. This helps us stay on schedule and ensures your visit runs smoothly.
